**About the role**
This is a full-time permanent position based at our Perth head office on Adelaide Terrace with future flexible working opportunities.
**Key duties, but not limited to**:
Manage documentation across a variety of systems and deliverables within the PMO Team
Maintain the Project Management Offices' database to ensure up to date information is available
Management and tracking of centralised mailbox
Provide timely reports associated with the PMO Team to the positions key working relationships (Managers, Coordinators etc)
Maintain PMO data reporting requirements
Assist Project Managers with the launch of Request for Quote, including collecting the response, provide it back to the project managers and process Purchase Orders
Collect / compile and upload evidentiary documents supporting project lifecycle
Handle vendor/subcontractor queries and follow-up with support team for resolution
Closely work with Project Controls Coordinators to ensure data integrity at all times
Regular interaction with Defence systems to access and update relevant information
Identify and/or contribute to the review and development of process improvements
**Skills & experience**:
Previous experience in a busy administrative support role, Defence sector experience is desirable
Demonstrated ability to work autonomously with a high degree of motivation, energy, initiative, and commitment
Strong ability to prioritise with the capacity to deal with multiple and often conflicting priorities
An ability to develop and maintain excellent working relationships with multiple operational managers and support function representatives as well as a high-profile client
Excellent written and verbal communication skills
Ability to work autonomously as well as part of a team
Proficient skills in Microsoft Office Suite (Outlook, Word, Excel), as well as a willingness to learn our in-house software system and work with this daily
Knowledge of SAP, Ariba, VenSafe (Safety System) or SharePoint, will be highly regarded
**Other special conditions**
The incumbent to this position must be eligible to obtain and maintain a Defence Security Clearance up to a level of baseline clearance. As a result of this requirement the incumbent must be an Australian Citizen.
This position also requires you to obtain a National Police Clearance check and hold a valid Australian driver's licence.
