Opportunity for a Virtual Assistant to provide critical administrative and operational support in a fast-growing company.
Key Responsibilities
* Serve as primary administrative and operational support for leadership team members.
* Manage inboxes, communication flows, and digital filing systems.
* Coordinate with suppliers, clients, and subcontractors on timelines, quotes, and deliverables.
* Take and return calls on behalf of the CEO and team, providing accurate summaries or acting accordingly.
* Track tasks, follow up on action items, and ensure timely execution of deliverables across teams.
* Provide calendar management and scheduling, ensuring time efficiency for the CEO and leadership team.
* Assist with coordinating project workflows and light operational planning.
* Identify inefficiencies and propose improvements in existing processes.
* Conduct research or prepare documentation as needed for decision-making.
Qualifications
* Proven experience as an Executive Assistant, Admin Manager, Operations Coordinator, or similar.
* Comfortable making independent decisions and stepping up with leadership in a virtual environment.
* Excellent communication skills (written and verbal), confident in professional phone and email exchanges.
* Deep attention to detail, excellent follow-through, and ability to juggle multiple priorities.
* Strong organizational and coordination skills; proactive in keeping things on track.
* Self-directed, responsive, and thrives working autonomously.
* Tech-savvy and experienced in using digital tools to manage workflows remotely.
