Job Description
- Part‑time ongoing position, offering flexible work conditions – Commencing early January
- Based at Eastern Shore, Tasmania on the lands of the Palawa People
- $32.16 per hour + 12% Super + Generous Salary Packaging perks of up to $18,550

As the first point of contact for clients, families, and visitors, the Administration Officer – Reception plays a key role in creating a welcoming and professional environment. You will support the smooth operation of the centre through administrative and reception duties, ensuring a positive experience for all who engage with our service.
Key Responsibilities
- Greeting clients and visitors with warmth and professionalism
- Managing reception duties including phone enquiries, appointment bookings, confirmations, and preparation and maintenance of client files – ensuring confidentiality and privacy is upheld
- Supporting administrative tasks related to meetings and events (e.g., room bookings, catering)
- Assisting with the set‑up of the reception area and all other client spaces
- Managing petty cash, data entry, and general office support
- Supporting Medicare billing, mental health care plan tracking, and liaison with GP clinics and our Youth Health Clinic
- Assisting with bookings and referrals to external providers including Psychiatrists, Psychologists, Doctors and other Professionals as required
- Providing administrative support across the Centre supporting all programs working within the headspace Eastern Shore Centre
About You
We’re searching for someone who brings heart, courage, and curiosity to their work. You’ll thrive in this role if you have:
- A client‑focused, non‑judgemental approach with a strong sense of compassion, particularly towards young people aged 12–25 and inclusive towards their family/carer
- Strong interpersonal skills and a commitment to confidentiality
- The ability to work independently as well as collaboratively within a team
- Great time‑management and multitasking skills, with attention to detail
What will make you stand out
- Demonstrated experience in administration and/or reception, preferably in a healthcare or community setting
- Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort with data entry systems
- Understanding of Medicare billing processes for allied health is desirable
- Minimum Certificate IV in Business Administration (or relevant experience)
- Current state‑based driver’s licence
- Flexibility in work hours and willingness to adapt to the needs of the service
