In this pivotal role, you will oversee the day-to‑day administrative operations, manage our front‑of‑house team, and ensure the smooth and efficient functioning of the clinic.
Responsibilities
* Lead and mentor the medical reception team, providing guidance, training, and performance feedback.
* Develop and implement administrative policies and procedures to optimise efficiency and patient flow.
* Manage staff rosters, leave requests, and payroll‑related administrative tasks.
* Oversee all front‑desk operations, including appointment scheduling, patient registration, and billing processes (Medicare, DVA, and private).
* Process and manage payroll for all staff, ensuring accuracy and compliance with relevant legislation.
* Handle complex patient inquiries and resolve escalated issues with professionalism and empathy.
* Maintain accurate patient records, ensuring strict adherence to confidentiality protocols.
* Coordinate with doctors and clinical staff to support their administrative needs and improve workflow.
* Manage clinic supplies, equipment, and vendor relationships.
* Assist with financial reporting and general bookkeeping duties.
Qualifications
* Proven experience in a medical administration or similar management role at a general medical practice.
* Previous experience in payroll processing is highly preferred.
* Familiarity with PRODA (Provider Digital Access) and its use for online government services is a significant advantage.
* Exceptional leadership and team‑building skills.
* Strong problem‑solving and decision‑making abilities.
* Excellent communication, interpersonal, and conflict‑resolution skills.
* Advanced computer and administrative skills, with proficiency in medical software like Best Practice.
