Primary objective
To provide a high level of administrative, coordination and project support to the Executive Director.
Context statement
The School Support division provides support, strategic and operational advice to assist the organisation, with a strong focus on schools,
to improve its performance and deliver quality education services across the Northern Territory. The School Support division also leads
strategic reform for the department.
Key duties and responsibilities
1. Provide high level executive administrative and secretarial support to senior executives within the department.
2. Processing correspondence, maintaining records using TRM, initiating follow-up action to ensure deadlines are met, handling
telephone inquiries, scheduling appointments and meetings, compiling and distributing meeting papers, making travel arrangements
and welcoming visitors to senior executive meetings.
3. Research and prepare high level confidential and sensitive briefings, submissions, reports and correspondence
4. Liaise effectively and discreetly with all levels of staff within the department, and with external stakeholders.
5. Build and sustain collaborative relationships and with a variety of stakeholders including the Chief Executive, senior departmental
staff members, other government agencies and external stakeholders.
Selection criteria
Essential
1. Proven successful experience working for a senior executive demonstrating the ability to communicate effectively at all levels
including with the senior executives.
2. Proven experience of high level interpersonal, oral and written communication skills
3. Politically astute with proven capability to operate effectively in a politically sensitive environment while maintaining high standards
of professionalism, ethics, departmental values and accountability.
4. Knowledge and understanding of government and ministerial protocols and procedures including standard formatting of
correspondence.
5. Demonstrated organisational and time management skills with the capacity to prioritise and meet competing deadlines and work
under pressure while maintaining quality of end product.
6. Proven ability to develop, maintain, apply and provide advice on procedures for administrative processes such as procurement, credit
card management, travel arrangements and records management.
7. Extensive knowledge in computer systems including word processing, spreadsheets and email.
8. Ability to work effectively in a collaborative and agile team, demonstrating ability to achieve outcomes using problem solving and
influencing skills.
9. Ability to perform to a high standard with personal resilience, reliability, integrity, accountability.
10. Ability to implement robust monitoring and evaluation systems to identify areas for continuing improvement.
11. Demonstrated ability to interact effectively with people from diverse cultures and backgrounds.
Desirable
1. Bachelor level or post-graduate qualification in a relevant discipline.
2. Contemporary knowledge of relevant legislation, policies and procedures.
3. Knowledge the strategic directions and objectives of the Department of Education and Northern Territory Government.
