We are currently seeking a proactive and detail-oriented Administration Officer – OSHC Services to support the daily operations of our Outside School Hours Care (OSHC) programs.

The Administration Officer will play a vital role in supporting the Manager of OSHC Services with a range of operational and administrative tasks, including:
● Responding to phone and email enquiries professionally and with care, ensuring families receive timely and accurate information
● Management and processing of End to End enrolments, bookings and documentation using Xplor and Waitlist
● Verification and maintenance of accurate records for all enrolment documentation including birth certificates, immunisation statements, CRN's and medical information
● In consultation with coordinators track waitlists, upcoming vacancies and confirmed enrolments to support occupancy planning
● Managing and submitting Inclusion Support Program claims, Child Care Subsidy queries and attendance submissions.
● Generating reports for management and assist with internal and external audits.
● Support OSHC service with enrolment enquiries and withdrawals
● Prepare, process and reconcile gap fee billing across all sites
● Monitor family accounts, track payments and manage fee adjustments, refunds and gap fee reconciliations
● Communicate professionally with families regarding account balances, payment plans and Child Care Subsidy (CCS)
● Assist with other operational requirements of services, including but not limited to:
Working directly with children to assist with ratios or in the role of Responsible Person
Assisting onsite as required and as instructed by the OSHC Coordinators

What we are looking for
· A proactive team player with a strong work ethic and attention to detail
· Excellent communication and interpersonal skills
· Solid experience in administrative functions, particularly within childcare or community services
· Understanding of childcare online enrolment platforms and CCS
· High digital literacy, including familiarity with Child Care Management Systems (e.g., Xplor and Waitlist)
· Demonstrated ability in data management, invoicing, and financial reporting
· Strong time management, problem-solving, and organisational skills
