We are seeking an exceptional Executive Operations Assistant to work directly with the young female Director, who oversees finance and high-level decision‐making across the business and family office.
This is NOT a finance role. Finance, banking and lending decisions remain with the Director. Your role is to own and manage everything else—operations, consultants, approvals, staff coordination, and family administration—so the Director can stay focused on finance and strategy.
This role suits someone who thrives on responsibility, organisation, and running complex lives and businesses smoothly.
Key Responsibilities
* Business & Operations Support
o Track and follow up approvals, conditions, and consultant deliverables
o Prepare meeting agendas, notes, and action tracking
o Act as a middleman between staff and the Director to avoid unnecessary time wasting
o Maintain operational dashboards, calendars and task systems
o Ensure nothing slips through the cracks
* Office & Staff Coordination
o Day‐to‐day coordination of office staff workloads
o Onboarding administration and general HR support
o Leave tracking, scheduling and internal communications
o Be the "glue" that keeps the office calm and organised
* Family Office & Personal Administration
o Manage personal and family schedules, bookings and events
o Handle personal travel, dinners, events and logistics
o Provide administrative support for elderly family care, including:
+ Appointments
+ Accommodation services
+ Transport
+ Household services
+ Ongoing organisation and follow‐ups
* Manage and own outcomes, not wait for instructions
What This Role Is NOT
* Accounts payable/receivable
* A junior admin or inexperienced admin position
* A reactive "task taker" role
* This is a senior, trusted operations position.
