Join a newly established surgical specialist practice in Spring Hill, Brisbane as an experienced Medical Secretary. This permanent full-time position offers flexibility to work across a 9-day fortnight or 4 days per week. This is the opportunity to work closely with a busy surgeon while managing key administrative functions, including day-to-day clinic coordination, theatre quotations and follow-up, theatre bookings, and consultation billing. The role will commence in January 2026.
You will enjoy a high level of autonomy within a supportive small team, working alongside a remote Medical Typist and an experienced Practice Manager. This position provides a balanced work environment with no overtime or weekend work.
Key Duties and Responsibilities
* Manage all incoming telephone calls and general patient enquiries in a timely and professional manner
* Prepare and run patient clinics based in Spring Hill and complete administration for external remote clinics (no travel required to any other clinic locations – this position is based in Spring Hill)
* Coordinate and action incoming email correspondence, ensuring all patient files contain the necessary results and documentation prior to consultations and operations
* Prepare theatre quotes and book theatre procedures, liaising closely with hospital staff, medical professionals and anaesthetic groups
* Process patient payments and receipting for consultations using Genie software
* Accurately and promptly enter patient information into Genie software
* Provide ad‐hoc support with urgent letters and secretarial tasks as required by the Surgeon
* Prepare and organise medical records, reports and correspondence (including WorkCover and DVA)
Candidate Qualifications & Experience
* Prior experience as a Medical Receptionist or Medical Secretary within a private specialist practice is desirable; applicants with strong experience in a GP setting will also be highly regarded.
* Demonstrated ability to prepare and run patient clinics with accuracy and attention to detail.
* Exceptional telephone manner, with genuine empathy for patients and their families.
* Strong team player who is equally confident working autonomously within a small, supportive practice.
* Excellent time‐management and organisational skills.
* High level of computer literacy; experience with Genie and/or Gentu is highly advantageous.

Remuneration & Benefits
A competitive hourly rate of $38–$45 per hour + super is on offer for a suitably experienced candidate, supported by a collaborative onboarding and induction program. The role also includes optional onsite car parking and convenient access to public transport routes surrounding the practice.
