About the Role
The Administration Assistant plays a key role in supporting the Warehouse, Zeek, and Service Claims teams. This role requires attention to detail, accuracy, and strong organizational skills to ensure all administrative processes run efficiently.
You will support stock management, process orders and invoices, maintain records, and assist with reporting on stock discrepancies, damages, and claims.
In this role, you’ll facilitate clear communication with internal teams, stores, and customers, build collaborative relationships with colleagues and the Warehouse Supervisor, and assist with operational tasks such as preparing freight manifests, coordinating stock for photoshoots, supporting store transfers, and contributing to ad-hoc projects and events.
The ideal candidate is proactive, adaptable, and committed to improving processes while delivering excellent service.
This part-time role, with base working hours of 10:00am – 4:30pm, is perfect for organized, detail-oriented individuals who enjoy variety and working across multiple teams. While these are the core hours, some flexibility may be required to support operational needs.
Main duties include but are not limited to:
- Provide comprehensive administrative support across the Warehouse, Zeek, and Service Claims teams, including managing emails, invoicing, filing, and general office tasks.
- Maintain and update systems, documentation, and records (including MYOB and Zeek Shopify) to ensure accuracy and efficiency.
- Assist with stock management, stocktakes, discrepancies, store transfers, freight manifests, and reporting on damages or claims.
- Liaise with customers, stores, and internal teams to address inquiries, issues, or escalations professionally, ensuring smooth operations.
- Support operational tasks such as preparing stock for photoshoots, assisting with events, and undertaking ad-hoc duties as required.
- Collaborate with colleagues and supervisors to improve processes, maintain productivity, and contribute to overall team effectiveness.
What We’re Looking For
- Proven experience in administrative support, office management, or related roles.
- Highly organized with the ability to manage multiple tasks, deadlines, and priorities efficiently.
- Strong attention to detail and accuracy in all administrative processes, including record-keeping, invoicing, and reporting.
- Excellent communication skills, with the ability to liaise professionally with colleagues, customers, and external stakeholders.
- Proactive, self-motivated, and able to work independently while thriving in a collaborative team environment.
- Comfortable using office and administrative systems (e.g., MYOB, Shopify, Microsoft Office) to support day-to-day operations.
- Flexible and adaptable, with a solution-focused approach to challenges and changing priorities.
- Committed to maintaining a professional, respectful, and supportive workplace culture.
- Previous experience in a warehouse, logistics, or retail environment is highly desirable.
