Dolan Civil is a leading Civil Construction company in the Northern Territory. We're looking for a vibrant, highly organised Office Manager who thrives in a fast-moving civil construction environment. You'll be the heartbeat of our office — keeping operations flowing, supporting project teams, and making sure staff, clients, and subcontractors all feel supported and informed.

Key responsibilities include:
Office & Operations Management
* Run day-to-day office operations to keep everything efficient and organised
* Maintain office systems, supplies, and administrative workflows
* Be the first point of contact for calls, emails, visitors, and general inquiries
* Coordinate meetings, agendas, minutes, and internal communications
Construction & Project Administration Support
* Support Project Managers with documentation and workflow coordination
* Assist with project start-up admin (folders, templates, subcontractor packs, etc.)
* Maintain and update project documentation including:
* Site diaries / records
* Plans, permits, and approvals
Accounts & Procurement Support
* Assist with invoice processing, purchase orders, and cost tracking
* Liaise with suppliers and subcontractors for ordering and delivery coordination
* Track job costs, variations, and basic reporting
* Support payroll preparation (timesheets, leave tracking, etc.)
Compliance, HR & Safety Administration
* Maintain registers such as:
* Contractor insurance, licences, inductions, and accreditations
* Plant and equipment servicing schedules
* Training, PPE, and onboarding documents
* Support onboarding of new staff and subcontractors
* Assist with WHS admin requirements, including document tracking and audits
People & Culture
* Create a positive, welcoming office environment
* Coordinate team events, birthdays, and company updates
* Help keep morale high — and bring a "can-do" energy to the workplace
What We're Looking For (Skills & Attributes)
Essential
* Proven experience as an Office Manager / Administration Manager (construction preferred)
* Strong organisational skills and ability to manage competing priorities
* Confident communicator who builds relationships easily
* Strong computer skills (Microsoft Office, Excel, document management)
* Ability to work independently and proactively solve problems
Desirable
* Experience in Civil Construction or related trades
* Familiarity with construction project documentation and workflows
* Basic accounts experience Xero / MYOB
* Experience supporting compliance, onboarding, and WHS administration
