O2 Marine is seeking a highly organised and enthusiastic Administrative Assistant to support our operations team. This entry-level role is perfect for someone looking to launch their career in administration within a dynamic marine environmental consultancy.
You'll provide crucial support across logistics, documentation, HR coordination, and general office operations to ensure the smooth delivery of our field projects and day-to-day functions.
Initially a twelve-month contract with potential to become a permanent role.
Key Responsibilities
Administrative & Logistics Support
* Assist in organising transportation, accommodation, and equipment for fieldwork and operations.
* Communicate logistics details to field teams and ensure all arrangements run smoothly.
* Provide on-the-ground support to help ensure timely and efficient project delivery.
Document Creation & Formatting
* Create, edit, and format internal documents, reports, and PowerPoint presentations.
* Maintain and update document templates in line with company standards.
* Assist in data compilation and reporting for internal and external use.
Office Coordination
* Support the planning and coordination of office meetings, activities, and staff events.
* Manage office supplies, track inventory, and coordinate minor equipment maintenance.
* Greet and assist office visitors and manage incoming phone calls.
HR Support
* Assist with employee onboarding, induction logistics, and training coordination.
* Help maintain HR records and support staff communications.
* Work with the HR team on employee engagement activities and internal communications.
About You
We're looking for someone who is:
* Highly organised with strong attention to detail.
* A confident communicator, both written and verbal.
* Eager to learn, adaptable, and proactive in supporting a team.
* Technologically capable and able to learn new systems, with a solid foundation in Microsoft Office tools and Sharepoint.
* Ideally has some administrative experience (preferred but not essential).
