The Operations Administration Assistant is responsible for providing administrative support to the operational team.
Key Responsibilities
* Act as the primary point of contact for crew regarding operational administration and general support services.
* Ensure compliance with crew certifications, inductions, and training requirements by monitoring and maintaining records.
* Support the onboarding process of new crew members, including arranging personal protective equipment and verifying completion of all required inductions and documentation for site access.
* Manage the operational needs of site vehicles, including novated lease arrangements and fuel card coordination.
* Process crew timesheets accurately and efficiently to support timely payroll processing.
* Schedule and coordinate meetings, events, and site visits for operational staff and stakeholders.
* Maintain stock levels of office supplies, stationery, and other operational support materials.
* Process purchase orders and ensure accurate invoice coding and tracking.
* Assist with the preparation of reports, presentations, and correspondence.
* Contribute to safety and wellbeing activities as a designated Fire Warden and First Aid Officer.
Requirements
* Degree in Business Administration or related field.
* Excellent communication and interpersonal skills.
* Able to work independently and as part of a team.
* Basic computer skills and proficiency in Microsoft Office applications.
