Job Description

About the Role

As Pre-Contract Coordinator, you'll manage the full lifecycle of the tender process – from lead identification and document collation to final submissions and handover. You'll work closely with the Estimating team, internal stakeholders, and external partners to produce professional, accurate proposals that help us win and deliver complex civil projects. Key Responsibilities

* Draft correspondence, collate schedules, and prepare submissions for tenders, Expressions of Interest, and Intention to Tender.
* Maintain tender tracking files, registers, document libraries, and the Information for Tenders folder.
* Create tender presentations, review documents, lodge final responses, and develop project case studies/EIRE resumes.
* Assist with project handover for awarded tenders (e.g., requesting codes, POs, setting up folders).
* Handle filing, archiving, printing/binding, and monthly tender reporting to the Regional Manager.

Communication & Coordination

* Monitor tender platforms, download/register/assess incoming opportunities, and notify key team members.
* Manage tender email correspondence, distribute to the right people, and prepare outgoing requests/responses.
* Organise and chair (as needed) weekly tender review meetings – record, finalise, and distribute minutes.
* Build and maintain strong, professional relationships with suppliers, stakeholders, clients, and internal teams.
* Act as an enthusiastic ambassador for the EIRE brand, culture, and community focus.
Desired Skills and Experience

About You

Experience

* Proven experience in an estimating support, tender administration, or business administration role.
* Civil construction industry experience highly regarded (especially exposure to tender processes in water, roads, utilities, or infrastructure).

Skills & Knowledge

* Intermediate to advanced proficiency in MS Word, Excel, PowerPoint, Outlook, and Bluebeam.
* Ability to produce high-quality documents in Adobe highly regarded.
* Strong PC and internet skills for managing tender platforms and digital workflows.

Personal Attributes

* Proactive self-starter who can juggle multiple tasks, solve problems, meet tight deadlines, and maintain exceptional attention to detail.
* Passionate about delivering great customer (internal and external) experiences.
* Excellent interpersonal and communication skills – enjoy collaborating in a team and influencing at all levels.
* Keen eye for detail with a positive, can-do attitude.

Qualifications

* Certificate in Business Administration, Finance, or equivalent.
* Relevant industry experience and acumen will be highly valued.
