This Federal Government Agency was established in 2022 and is known for activating the potential of Australia's human capital to meet present and future skills needs. They are seeking an APS5 Executive Assistant to support their First Assistant Secretary due to recent staff movements in the branch.
Your new role
As the APS5 Executive Assistant, you will:
* Manage the office of the First Assistant Secretary, ensuring effective information flow.
* Provide high-level secretarial support, including routine correspondence, screening calls and emails, photocopying, scanning, and filing.
* Manage multiple inboxes, diaries, travel arrangements, and meeting preparations, including venue booking, catering, and minute-taking.
* Assist with financial management tasks such as processing accounts payable, managing corporate credit card accounts, and quality assurance of travel in Expense8.
* Anticipate the needs of the Executive Director and collaborate with the Executive Officer to ensure timely management of tasks, briefings, and correspondence.
* Support the Office of the Commissioners to ensure effective management, communication, and information flow.
* Communicate and liaise with staff at all levels and with internal and external stakeholders.
* Guide and support branch APS4 Executive Assistants.
* Perform other duties as specified by the Executive Director.

* Excellent written, verbal, and interpersonal communication skills for professional correspondence and document preparation.
* Ability to build collaborative working relationships and effectively engage with stakeholders.
* High level of professionalism, initiative, problem-solving skills, sound judgement, and discretion in handling sensitive information.
* Experience using various computer software programs and systems in an administrative role.
