Join our busy orthopaedic and hand therapy clinic in North Queensland. We're a dedicated team providing exceptional surgical and therapeutic care to our patients, and we need a reliable, organised team member to help keep everything running smoothly.
The Role
We're looking for a personable, proactive individual to manage essential administrative tasks and be the welcoming face of our clinic. This is a straightforward admin role focused on the daily operations that keep our practice running efficiently.
Key Responsibilities
* Patient interaction: Greet patients warmly and professionally, both in person and over the phone
* Appointment management: Schedule appointments and manage bookings for our multidisciplinary team
* Clinical phone handling: Answer calls professionally and direct queries appropriately
* Patient correspondence: Assist with distributing reports, follow-up information, and basic emails
* Record keeping: Maintain accurate patient records and data entry in practice management systems
* Administrative support: Filing forms, printing documentation, creating pre-op folders, scanning documents
* Referral management: Track and manage patient referrals
* Billing support: Process basic patient billing transactions
* Office organisation: Maintain reception area, restock supplies, general office tasks (dishwasher, bins, supplies)
* Team collaboration: Work with our administrative team to ensure seamless patient care
Essential Requirements
Experience & Skills:
* Previous admin experience preferred (medical experience advantageous but not essential)
* Confident phone manner - you'll be handling clinical calls with patients, specialists, and other practices daily
* Excellent interpersonal and communication skills
* Strong organizational abilities with meticulous attention to detail
* Proactive and team-oriented mindset
* Data entry experience
Technical Requirements:
* Mac computer proficiency essential - you must be comfortable with macOS
* Familiarity with Microsoft Office (or equivalent Mac applications)
* Willingness to learn practice management systems (we use Xestro, Notion, and other clinic software)
* Quick to pick up new software and technical systems

What You Don't Need to Worry About
Complex billing, insurance claims, advanced report generation, payroll, and technical administrative tasks are handled by senior staff. This role focuses on the essential daily operations.
