About the role
The role of Administration Officer works within the Mission and Mission in Action of HammondCare to ensure the provision of high-level administrative support to the hospital's functionality. This is a fixed term contract, full-time role located at Greenwich Hospital.
This position will be temporarily relocated to Macquarie Hospital site during the Greenwich Hospital redevelopment from March 2026
HammondCare is a NSW Health-affiliated organisation all NSW Health transferrable entitlements will be recognised.
Key Responsibilities
* Ensure the efficient and effective management of patient admissions and discharge and other patient movements in eMR
* Effective management of bookings - patient appointments for medical staff clinics, tests, scheduling of meetings and the booking of meeting rooms, booking of interpreters ensuring meeting room set up and set down, catering etc, using eMR or relevant systems.
* Update and modify patient information on eMR and other patient information system accurately and timely manner (e.g. dietary, financial, demographic info)
* Triage all phone enquires and redirect to the most appropriate department or person.
* Processing mental health tribunal documentations and liaising with the MHRT team
* Provide accurate and efficient word processing, data collection and entry and filing, and maintenance of patient medical records. Escalating if data is not forthcoming prior to deadlines for data entry. Using all office computer systems effectively.
* Maintain up to date patients lists and provide to relevant staff
* Ensure patients with private health insurance receive the brochure; provide information and explanation as required. Communicating with patients/families/carers and staff to ensure completion of relevant paperwork to process PHI claims. Processing all private patient PHI documentation and by end of month ensuring finance have this information.
* Distribution of mail and provides office support such as photocopying and scanning
* Maintain and order stationery supplies at appropriate levels, including regular review of usage and requirements to ensure resources are managed wisely.
* Provide training to new or relief staff so that they are familiar with the administrative systems of the Service.
* Complies with all HammondCare policies and procedures.
* Provide support and others duties as required by management for the inpatient services
About you

* Demonstrated ability to provide high level administrative and organisational support in a health environment, with a high level of attention to detail.
* Demonstrated problem solving, prioritisation and communication skills.
* Comprehensive experience in working in a flexible, multi-skilled team environment, where high level interpersonal, communication and customer service skills are key factors to effective operation.
* Ability to respond appropriately to challenging behaviours of patients
* Capable of working autonomously and effectively following directions.
* Application skills in Health Information Systems
* Understanding Medical Terminology (desirable).
