Operations Assistant (Remote | Part-Time Contract | Corporate Training)
We're hiring a detail-oriented Operations Assistant (Remote, Sydney time zone) to support the delivery of leadership training programs, keynotes and corporate client engagements across Australia and internationally.
This is a hands-on execution role for someone who thrives on structure, systems and getting things done expected for approximately 20 hours per week.

The Role
This is an execution-focused Operations Assistant position.
You will sit at the centre of our systems — ensuring administrative, operational and program delivery tasks are completed accurately, on time and to a consistently high standard.
You are the engine that keeps everything moving.
Key Responsibilities
Executive & Administrative Support
* Manage multiple inboxes and triage communications
* Schedule meetings, keynotes and podcast recordings
* Coordinate travel logistics (flights, accommodation, run sheets)
* Prepare briefing documents and track action items
* Maintain calendar integrity and manage availability across time zones
* Proactively escalate risks, delays or blockers
CRM & Systems Administration
* Maintain data accuracy in CRM, Kit and Kajabi
* Upload CSV lists and manage tagging/segmentation
* Support automation workflows
* Monitor Notion task boards and ensure execution to timeline
Program & Event Coordination
* Coordinate participant onboarding and communications
* Manage facilitator scheduling
* Prepare and distribute program materials
* Track attendance, feedback and reporting metrics
* Liaise with corporate clients on logistics
* Support accreditation tracking and documentation
Content & Asset Management
* Upload training recordings to Kajabi/Wistia
* Update learning modules and resource libraries
* Maintain organised digital file systems
* Schedule social media content
Financial & Operational Support
* Support expense reconciliation for client engagements
* Assist with contractor documentation and compliance
* Manage printed resource inventory and proactive reordering
About You
* Highly organised with exceptional attention to detail
* Comfortable working independently within structured systems
* Strong operational judgment — able to identify gaps or non-standard client needs
* Tech-confident (CRM platforms, automation tools, Notion, Slack)
* Clear written communicator
* Calm under pressure and deadline-driven
* Takes ownership through to completion
* Discreet and trustworthy
Experience in operations, executive assistance, program coordination or corporate training required.
