About the Role
We are seeking an Administration Support Officer to provide high-level reception and administration support in our Box Hill area office.
This role is the first point of contact for our team and clients, providing exceptional customer service and ensuring that all enquiries are dealt with in a confidential and sensitive manner.
Key Responsibilities
* Reception duties including answering phones, booking and confirming appointments, dictaphone transcribing of medical reports and preparation of new client files.
* Provide information to young people and their families and friends presenting to headspace, ensuring that all enquiries are dealt with in a confidential and sensitive manner.
* Assist the Service Manager and provide administrative assistance including managing office systems, correspondence, accounts and billing, and database maintenance.
* Oversee all Medicare billing, batching and electronic claims, and ensure compliance with Medicare and other statutory requirements.
Requirements
* Certificate IV in Business Administration and/or experience in administrative support in the Health, Medical or Community Services sector.
* Strong organisational skills and ability to work under pressure to meet tight deadlines incorporating effective planning, time management, resourcing, facilitation and achieving quality outcomes.
* Broad experience in administrative support, data entry and customer service in Not For Profit, Social Services, Community Services, Healthcare or Disability services settings.
* Maintain personal integrity in handling sensitive client data.
* Highly effective communication and interpersonal skills, ability to positively contribute to the team and organisation culture.
