About the roleAs a Business Coordinator, you will play a pivotal role in supporting the Executive Director and Directors, while ensuring the effective coordination of business activities across the Branch. From managing executive priorities to coordinating events and supporting projects, no two days will be the same.
Key responsibilities, but not limited to:Manage complex calendars and priorities to ensure optimal use of executive time and timely escalation of urgent mattersDeliver confidential executive support, including drafting correspondence, reports, presentations, and other key documentsAct as a central point of coordination, ensuring effective communication and information flow across teams and stakeholdersManage small projects and contribute to the development and continuous improvement of administrative processes, systems, and proceduresCoordinate meetings and workshops end-to-end, including logistics, stakeholder liaison, and follow-upProvide high-level secretariat support, including preparing agendas, compiling papers, taking minutes, and tracking actionsSupport and coordinate initiatives, projects, and programs across the Branch as required
Key knowledge and experienceProven experience providing high-level administrative and coordination support to senior executives across a broad range of functions, including finance, procurement, HR processes, and business operationsStrong ability to manage competing priorities and support executive-level workflow in a fast-paced environmentAdvanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and OutlookDemonstrated experience using correspondence tracking systems, databases, and electronic document and records management systemsExperience working with financial and budgeting systems, with the ability to support monitoring, reporting, and administrative financial processesHighly developed digital literacy and confidence using a range of communication and collaboration tools
