Job Title:
Ambitious Administrative Coordinator
Key Responsibilities:
* Administrative Support: Provide meticulous administrative support to senior managers and directors, ensuring timely expense claims are prepared and processed in accordance with firm policies.
* Email Management: Coordinate and respond to emails in the security shared mailbox, supporting baseline security applications.
* Scheduling and Organization: Schedule and organize internal and external meetings, manage logistics, arrange travel bookings, prepare itineraries, and track travel costs.
* Event Planning: Organize client events following firm guidelines, manage catering and AV needs, coordinate group travel and accommodation, and secure venues using internal contacts.
* Research and Development: Conduct client/industry research, manage client database entries, provide technical coaching for new team members, process vendor payment requests, and engage in personal performance development while supporting team projects and tasks as needed.
Required Skills and Qualifications:
* Technical Proficiency: Proficient in MS Office applications, with some experience in delivering technical training or coaching preferred.
* Organizational Abilities: Strong prioritization, organizational, and time management skills, along with well-developed problem-solving abilities and proficiency in database systems.
* Customer Service Focus: Proven customer service focus, and ability to work collaboratively in a team is essential.
* Adaptability: Must be comfortable working virtually and independently, responding well to deadlines, and adapting to a rapidly changing environment.
* Work Experience: A minimum of 2 to 3 years of work experience is required, with at least 2 years preferred in a team environment providing secretarial services.
* Location: Candidates must be located in Sydney or Melbourne and be Australian citizens with ability to obtain NV1 Defence Security Clearance.
