Primary objective
Provide high level administrative and secretarial service to support the Superintendent and Officer in Charge of the Tennant Creek Police
Station, including the operations of the Tennant Creek and Barkly Division to enhance delivery of business services.
Key duties and responsibilities
1. Provide high-level confidential secretarial support to management and members of the Tennant Creek and Barkly Division.
2. Provide administrative assistance, advice and customer service support to the Front Counter of the Tennant Creek Police Station
including duties such as phone coverage, transcribing, minute taking, coding divisional invoices, minor procurement and producing
internal reports and documentation as required.
1. Manage incoming and outgoing correspondence for the Divisions and maintaining appropriate administrative Northern Territory
Government (NTG) and Northern Territory Police (NTPOL) electronic systems and processes.
1. Provide a range of financial support including processing payment of invoices, ledger transfer requests, journal data entry and cash
handling, banking and reconciliation of accounts.
1. Manage general IT and Station maintenance services tasks including ordering and monitoring IT equipment, arranging workstation
relocations and requesting repairs/ assistance or reporting faults on behalf of the Division.
1. Aid with Tennant Creek Housing portfolio including housing allocation, repairs, preparation of sub leases and property condition
inspections.
1. Manage the Visiting Officer Quarters and Single Officer Quarters including bookings, allocations and inspections.
Selection criteria
Essential
1. Demonstrated experience in providing comprehensive confidential administrative and secretarial support service to an executive and
others and managing communication channels in a workplace.
2. Good working knowledge and experience in delivering well-coordinated administrative, secretarial, and executive support service,
including scheduling, preparing documentation, management of information, meetings, financial procedures, records management, and
other agency processes.
1. High level computer literacy including sound knowledge of software applications such as Microsoft Word, Outlook, Excel, and Internet
use, with the ability and willingness to learn new systems/ processes.
1. Strong organisational skills and ability to work as an integral member within a team environment whilst managing own workload as
well as multiple tasks and competing/ changing priorities with minimal supervision.
1. Strong interpersonal and communication skills and ability to interact effectively with people of diverse cultures.
2. Sound knowledge of the principles of Equity and Diversity and Occupational Health and Safety issues.
Desirable
1. Sound understanding of NTG and NTPOL electronic systems such as HPE Content Manager, NTG Pay, Expense8 and Travel Request
Information Processing System (TRIPS).
2. Knowledge and understanding of the structures and roles within NTPFES and NTG policies and procedures, including records
management, procurement and financial management and standard formatting of correspondence.
