plus 17% superOversee operations and administration at Melbourne Integrative Genomics, supporting staff and graduate students.Manage events, communications, finances, and office administration to ensure smooth day-to-day operations.About the RoleMelbourne Integrative Genomics (MIG), hosted by the School of Mathematics and Statistics, is seeking a proactive and detail-oriented Coordinator to oversee the operational and administrative activities of MIG, providing essential support to graduate students and staff.As the central point of coordination, you will engage with a diverse range of stakeholders across the University, leveraging your strong networking and organisational skills to ensure the smooth functioning of MIG.
Your responsibilities will include planning, promoting, and supporting events, managing general office operations, processing purchase orders and reimbursements, maintaining databases and the website, and overseeing internal and external communications.This is a front-facing role that requires a high level of efficiency, initiative, and professionalism.
Reporting to the MIG Director, you will work on-site at MIG four days a week, actively engaging with members and assisting with campus events.If you excel at managing priorities efficiently in a dynamic environment, we encourage you to apply.Your responsibilities will include:Supporting MIG group leaders through management and decision making to ensure the implementation of strategic programs, events, and compliance with respect to finance and reporting.Coordination of MIG events and workshops, including coordinating program design, room booking, advertising, catering, managing registrations, organising external and internal speakers' schedules, onsite logistics, transport, accommodation, infrastructure.Respond to queries independently from staff, researchers, and HDR students, using sound judgement to resolve queries or redirect calls as appropriate.Organise and coordinate the diary where appropriate, including appointments, processing enquiries and coordinating meetings for MIG.Maintain record keeping, data management and collection and facilitate processes for efficient data collection across the University of Melbourne to ensure accurate and timely preparation of reports to relevant parties.Who We Are Looking ForYou will have relevant experience or an equivalent combination of education and experience, along with excellent organisational and project management skills, ensuring a high level of attention to detail in planning and implementing project activities.You will also have:Demonstrated understanding of the operational aspects of research centres, in relation to working with faculty and university business service providers to bring about effective outcomes;Strong interpersonal and verbal communication skills with the ability to relate effectively with a range of stakeholders across all levels of the organisation;Demonstrated ability to work independently and as part of a team;Experience in a university or higher education administrative setting is highly desirable.This role requires that the successful candidate must undergo and maintain an up-to-date Working with Children Check.
