Role
Assist the Business Manager and Principal to manage the human resources and recruitment operations of the school.
The ES Range 1:3 Human Resources position is full time ; The workday is hours plus an unpaid 30-minute lunch break.
There is an attendance requirement of 12 days during the school vacation periods, and the position holder will receive a leave purchase allowance for the 12 days. The nature of the role may require additional hours of work outside of the standard hours in which time in lieu will be provided.
Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.
Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management.
The provision of business management responsibilities becomes a feature at range 3. Management of staff to achieve the expected outcomes is a key responsibility. Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases. Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.
This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years. Professional student support positions become a feature at range 3 ( therapists, psychologists) where standard professional services are delivered. Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.
An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.

Workforce Management / Planning
1. Staff database management (spreadsheets, C21 and eduPay)
2. Manage staff leave records
Recruitment
3. Post job advertisements on Recruitment Online as directed by the Principal
4. Provide panel members with applications and panel materials
5. Schedule and make all arrangements for interviews and communicate with the applicants
6. Process hires and communicate with the successful applicant
7. Prepare employment contracts and complete commencement salary calculations as required
Induction
8. Assist the Assistant Principal with the staff induction day in term 4 and term 1
9. Onboard new staff – providing the staff induction pack, arranging access to IT systems, ordering name badge, staff & phone extension list, arrange pigeonhole and undertake OHS induction
10. Providing new staff with relevant keys and maintain the school register for keys and security fobs
eduPay
11. Complete and monitor all administrative work in eduPay relating to salaries, leave, Time In Lieu, service history, time fraction changes, allowances, special payments, statement of service and other associated work.
12. Management and follow up regarding staff overpayments
13. Review and validation of fortnightly payroll
14. Responding to staff leave queries (LSL entitlements, leave balance etc.)
15. Approve staff leave on eduPay, liaise with the Daily Organiser and following up with staff where required
16. Management and processing of School Local Payroll onboarding of casual employees liaising with the Daily Organiser processing of timesheets GL reporting
Other
17. Provide HR information to staff on relevant policies, DET HR guidelines and the 2022 VGSA
18. Prepare employment contracts, letters, new employee packs and other HR documents and correspondence.
19. Maintain staff personnel files
20. Maintain and update the schools VIT portal
21. Update the school website as required in relation to job advertisements and employment tours
22. Provide support to the general office team
23. Archive necessary documents in a timely manner in accordance with DET policies
24. Other duties requested by the Principal or their delegate
