Are you a skilled sales professional with a background in event coordination and a passion for delivering exceptional guest experiences?

We're seeking a passionate and driven Events Executive to manage inbound group and event enquiries, overseeing all pre-event coordination through to hand-over with our Operations Team. Working with warm leads across conferences, special events, and social celebrations, you'll guide clients through the planning process at one of Sydney's most iconic heritage venues.

About Q Station

The Opportunity

Reporting to the Head of Sales, the Events Executive at Q Station is responsible for converting and coordinating inbound event and group enquiries - playing a key role in driving revenue across the hotel.

This is an excellent opportunity for a sales professional who builds strong relationships, tailors event solutions, and manages the full sales process through to handover.

Success in this role calls for confident communication and the ability to work seamlessly with clients, internal teams, and external suppliers. You'll lead the planning phase, ensuring all details are captured and clearly handed over for smooth event delivery.


Key Responsibilities

* Managing the sales process from initial enquiry through to end-to-end event coordination and handover.
* Provide quotations and contracts for conference and events enquiries covering venue, function, menu and accommodation costs ensuring revenue is maximised.
* Co-ordination of site inspection activity including follow-up.
* Develop and maintain effective internal communication with all areas within the operation Reporting Lines.
* Ensure the overall coordination of conferences and events is as accurate and seamless as possible.
* Maintain up-to-date client records, enquiries, and event details in the CRM.
* Attend weekly BEO meetings and contribute to internal event planning discussions.
* Support client retention by delivering consistent, professional service and post-event follow-up.
* Assist with implementing sales strategies for the team to ensure targets are achieved as directed by the reporting line.


Qualifications

* Proven track record of successfully converting conference and event sales in a fast-paced environment - hotel experience is advantageous.
* Strong understanding of the end-to-end sales and coordination process for large events.
* Proven ability to work within a team environment where attention to detail is essential.
* Excellent interpersonal, verbal, and written communication skills and ability to develop strong relationships with team members, key contacts, and VIPs.
* Ability to manage competing deadlines to achieve results.
