We are seeking a highly skilled Project Coordinator to join our team for a Wagerup based project. This is an exciting opportunity for someone with strong organizational and administrative skills to drive the success of our project.
Job Description:
The primary role of the Project Coordinator is to provide exceptional support to the project team by maintaining accurate records, managing documentation, and ensuring seamless communication. Key responsibilities include:
* Maintaining the Project Master List and Timesheet / Sign On Master, including new starters, changes in classifications, demobilisations and crew changes.
* Cross-referencing daily sign-on sheets to timesheets and validating DWS Force Report.
* Accurately entering time sheet hours and submitting fortnightly pay file uploads in accordance with internal payroll processes and deadlines.
* Assisting HSE and HR personnel to coordinate new starter first day process.
* Collating information required for Daily Force Report to Client, Daily Sign Ons and Delivery Register, Plant and Equipment Pre-starts to Vendors, Project Control Weekly Report, and other reports.
* Raising supply requisitions and invoice receipting in Pronto.
* Maintaining filing systems and archiving project documentation while adhering to document control protocols.
* Maintaining Training Matrix and HSE administrative support, including uploading documents.
* Coordinating stock-take and ordering stationery.
* Arranging access, PPE preparation and collection / escorting site visitors.
Required Skills and Qualifications:
To be successful in this role, you will require:
* 3-5 years industry experience in a similar role.
* Relevant qualification/s in appropriate discipline, e.g. Cert IV in Business Administration, or equivalent demonstrated competency.
* Demonstrated administration background with previous exposure to timekeeping, accounts, document control.
* High level of proficiency and expertise using document management systems (Ineight, desirable) and Microsoft Office Suite (SharePoint and Excel in particular).
