We are seeking an experienced Office Administrator to join our team at Vac West Industrial in Geraldton, Western Australia. This part-time (30hrs per week, Monday to Friday), permanent role is essential for ensuring the smooth operation of our administrative functions. The successful candidate will play a key role in supporting our staff and enhancing the overall efficiency of our office environment.
Responsibilities
* Manage daily office operations and ensure a welcoming environment for staff and visitors.
* Handle correspondence, including emails, phone calls, and postal mail.
* Reconcile timesheet data, in preparation for payroll processing each week.
* Assist in scheduling and managing rosters for team members using designated software.
* Assist in the efficient and accurate onboarding of new team members, including collating HR documents, qualifications, organising inductions and medicals, and maintaining records in the HR system.
* Coordinate office supplies and inventory management.
* Support the preparation of reports and presentations as required.
* Facilitate communication between departments and assist with project coordination.
* Manage company licence compliance tasks, including record-keeping and renewals, as guided by internal policies.
* Ensure compliance to company policies and procedures.
Qualifications
* Proven experience as an office administrator or in a similar administrative role.
* Strong organisational and time-management skills.
* Experience with Microsoft Office Suite, Xero, ServiceM8, Employment Hero, and Mango software systems (desirable).
* Ability to work independently and as part of a team.
* Attention to detail and problem-solving skills.
* Proficiency in data entry and record-keeping with a strong focus on accuracy and compliance.
* A high level of discretion and confidentiality.
