THE POSITION

Rockhampton Girls Grammar School invites applications for a passionate and dedicated Boarding Operations Manager.

Employment Type: Full Time ongoing

Hours: 76 hours per fortnight - flexible start and finish times

This role is based onsite and will be at the heart of our Boarding House community.

POSITION OBJECTIVE

The Boarding Operations Manager at Girls Grammar School Rockhampton plays a pivotal role in ensuring the efficient organisation and seamless functioning of all aspects of boarding life. This position is responsible for coordinating daily operations within the Boarding Houses and supporting the boarding team to maintain a structured, well-managed environment.

The role requires strong organisational oversight to ensure systems, schedules, and processes run smoothly, fostering a positive and supportive experience for students and staff.

The Boarding Operations Manager provides direct operational, administrative, and logistical support to the Heads of Houses, enabling them to focus on leadership, pastoral care, academic support, and strategic planning.

KEY RESPONSIBILITIES

OPERATIONAL AND ADMINISTRATIVE RESPONSIBILITIES

- Oversee the day-to-day operations of the Boarding Houses, ensuring consistency and efficiency.

- Draft and distribute clear internal communications, rosters, and notices to boarding staff and Heads of Houses.

- Maintain and update Boarding procedures and the Boarding Handbook as directed by the Heads of Houses or Principal.

- Ensure effective and thorough communication between boarding staff, parents/caregivers, the wellbeing team, and teaching staff.

- Manage and maintain accurate records, including student files, travel arrangements, weekly/flexi boarders, and medical appointments.

- Manage daily and term-based transport logistics (buses, drivers, taxis, planes, trains).

- Liaise with the Transport Manager to organise everyday bus transport.

- Coordinate and oversee all student transport and logistics requirements.

- CRICOS compliance for international boarders’ travel requirements

- Develop and maintain a process to ensure boarding vehicles are scheduled, fuelled, and serviced as required.

- Submit maintenance requests and liaise with relevant staff to ensure dormitory and facility needs are met.

- Ensure Boarding Houses are prepared and operational for the return of boarders each term.

- Manage administrative tasks and financial reporting related to boarding operations.

- Manage all aspects of student leave logistics, including data entry, transport coordination, and communication with parents and staff, ensuring compliance with the Boarding Leave Policy. Complex or sensitive leave matters are to be referred to the Head of House.

- Maintain the physical condition of the Boarding Reception precinct and its surrounds, ensuring a professional and welcoming environment.

- Ensure compliance with all Boarding House policies and procedures in relation to boarder transport and travel.

- Provide administrative assistance to the Heads of Houses, including report preparation, correspondence, and data management.

- Maintain a centralised calendar of boarding activities, meetings, compliance requirements, and audits.

- Assist in preparing materials for internal and external audits, reports, and presentations.

- Support the Heads of Houses with all administrative and operational requirements.

STUDENTS & FAMILIES

- Welcome boarders and their parents to the School in a pleasant, informed, and professional manner.

- Respond to enquiries in a timely and accommodating way.

- Ensure new boarders are well supported and understand boarding and travel processes.

- Monitor and respond to changes in student movements at all times.

- Liaise with medical professionals, the School Nurse, and families to coordinate appointments and follow-up.

- Maintain open, supportive communication with students and families, seeking advice from the Heads of Houses when necessary.

- Organise and support weekend and special boarding activities in consultation with the Heads of Houses.

- Ensure the boarding environment is welcoming, protected, and well maintained.

STAFF

- Develop and manage boarding staff rosters to ensure adequate supervision and coverage across all shifts.

- Maintain clear and regular communication between boarding staff.

- Provide direct operational support and guidance to Boarding Supervisors, who report to the Heads of Houses.

- Assist the Heads of Houses in monitoring boarding routines, student wellbeing, and staff performance.

- Coordinate the induction and onboarding of new boarding staff and assist with training logistics.

- Encourage collaboration between day staff, boarding staff, and students.

- Support boarding staff with record-keeping and ensure consistency in documentation.

- Coordinate meetings and professional development opportunities for boarding staff.

- Work collaboratively with the Heads of Houses to implement strategic boarding initiatives, ensuring consistency across both houses.

- Provide regular operational updates and reports to the Heads of Houses to support data-driven decision-making.

- Assist in preparing documentation and reports for the Principal or Executive team as requested by the Heads of Houses.

- Coordinate operational support for Head of House-led projects, audits, and compliance reviews.

- Highly organised, proactive, and adaptable with the ability to multitask.

- Strong leadership and team coordination skills, with the ability to support and collaborate effectively with the Heads of Houses and Boarding Supervisors.

- Excellent interpersonal and communication skills.

- High level of confidentiality, professionalism, and commitment to the School’s values.

QUALIFICATIONS/KNOWLEDGE/EXPERIENCE

- Proficiency in IT systems for communication, scheduling, and reporting, including advanced use of Microsoft Excel for data management and rostering.

- Experience using online platforms such as Orah or the ability to learn quickly.

- Previous experience in a Boarding School or similar residential environment is desirable.

- Demonstrated ability to create and manage staff rosters efficiently, ensuring compliance with staffing requirements.

- Ability and willingness to drive a 12-seater van.

- Experience in planning and overseeing events such as socials, dances, trivia nights, and cultural celebrations, including managing catering, supervision, transport, parent approvals, and risk assessments.

- Ability to manage and oversee financial reporting requirements and boarding budgets, adhering to all policies and procedures.

- Familiarity with ABSTUDY processes and SafeTravel Plans.

- Knowledge of developments in the boarding sector through ABSA and ICPA memberships, and the ability to share relevant updates with the Heads of Houses and staff.

MANDATORY REQUIREMENTS

The successful application is required to:

- Hold a current Drivers Licence.

- Hold a current Blue Card from the Commission for Children and Young People and Child Guardian.

- Prior experience in a leadership role.
