About the role
We are seeking a proactive and highly organised Administration Coordinator to support the Director of Preventions Portfolios and support the smooth day to day operations of the broader team in this part time (0.4FTE), fixed term opportunity until 27 April 2027. This would be a job share arrangement that would require you to be available to work Tuesdays and Fridays. This role is ideal for someone who enjoys juggling priorities, supporting others and bringing structure and efficiency to a busy environment.
As the Administration Coordinator, you will report directly to the Director, Prevention Portfolios and provide business support and service, utilising a variety of policies and procedures. This may involve either coordinating the activities of others or supporting a manager and their team or business unit. You'll work closely with internal stakeholders, manage processes, and ensure administration functions run seamlessly.
Key accountabilities will include:
* Provide high level administrative assistance to the Director, Prevention Portfolios including effective management of their diary and managing correspondence and incoming sensitive, confidential information.
* Provide high level business support to the Prevention Portfolios area including meeting coordination, drafting, co-ordinating, finalising, formatting and supporting the development and distribution of documents, and compiling and distributing regular communications such as monthly activity reports, as required.
* Coordinating and supporting stakeholder events and forums with both internal and external stakeholders, including scheduling, administrative arrangements, assisting with preparation of papers, minute taking, and liaising with senior management as required.
* Be competent in providing advice of Prevention Portfolios to your Director and be flexible, agile and able to deliver promptly on departmental papers, policies and procedures.
* Develop processes to support continuous improvement of our administrative support to the Programs area.
* Stakeholder management with employer and worker representatives and ability to co-ordinate stakeholder events and resolve stakeholder issues.
You have excellent administrative support skills with a demonstrated ability to liaise on a professional level with diverse client and stakeholder groups.
Additionally, you will possess the following skills and experience:
* Proven experience in a similar administrative or coordination role, at a mid-level.
* Strong organisational and time management skills
* High attention to detail with the ability to manage competing priorities
* A proactive, solution-focused mindset with a collaborative approach
* Business reporting systems, and ensuring administrative processes meet corporate procedures.
* Experience in preparing agendas, minutes, reports and presentations.
* Demonstrated ability to work as part of a team and to work autonomously
* Flexibility and the ability to devise creative solutions to deliver effective business outcomes in an efficient and timely manner
* Excellent written and verbal communication skills
* Availability to work 2 days per week – must be available Tuesdays and Fridays
