North Queensland Combined Women's Services Inc (NQCWS) is a not‐for‐profit service offering a range of supports to women and their children in Townsville and outreach to the local region. Outreach areas include Ingham, Ayr, Charters Towers and the Townsville Women's Correctional Facility. The centre offers Specialist Homelessness Service, Women's Health and Wellbeing Service, Sexual Assault Support Service, and a 24‐hour interagency Sexual Assault Response Service.
About You
Certificate IV in Business Administration or equivalent experience. Essential registrations: Current Working with Children Blue Card; right to work (Australian/New Zealand passport; Australian/New Zealand Birth Certificate or Citizenship Certificate or Passport and Visa).
Position Summary
Provide essential administrative assistance to the Business Administrator to ensure accurate and timely data recording and administration of the organisation's finance, operational management, quality management and human resources functions.
Key Requirements

* Administration and financial support experience, including proficiency in data entry and financial processing using accounting systems such as MYOB.
* Human resource administration experience, including supporting HR functions such as new staff onboarding and inductions.
* Operational and property management experience, maintaining registers for property, work health and safety, quality and continuous improvement.
* Ability to liaise with contractors to maintain organisational assets.
* Strong interpersonal skills, with the ability to provide reception support, manage sensitive face‐to‐face and phone enquiries and gather accurate data.
* Demonstrated understanding and commitment to feminist principles and social justice, and a strong cultural awareness of Aboriginal and Torres Strait Islander peoples and culturally diverse backgrounds.
Responsibilities
* Maintain a commitment to social justice issues and feminist principles.
* Preserve and maintain confidentiality and privacy.
* Attend to human resource and financial administrative matters as required.
* Maintain documents and administrative procedures in accordance with quality requirements.
* Support the HR & Finance Officer and Business Administrator in preparing for the Annual Audit.
* Provide back‐up support to reception when required.
* Participate as part of the Emergency Response Committee and respond appropriately to emergency situations.
* Perform other administrative tasks as requested by the Business Administrator, CEO and/or Management Committee.
Duties
Finance Administration
* Undertake accounting and payroll administration through data entry into the MYOB system.
* Support payroll, superannuation and PAYG processing.
* Carry out financial and online banking functions.
* Prepare financial records, including bank statements, reconciliations, cash receipts and payments journals, funding acquittals and grant ledgers.
Human Resource Administration
* Maintain accurate human resource records.
* Advertise vacancies on appropriate websites and social media.
* Prepare for interviews and new employee processes, including data entry, filing and arranging interviews.
* Support induction of new employees, ensuring procedures are followed.
* Manage IT user access for new and exiting employees.
Property
* Maintain the Property Register for insurance purposes.
* Ensure appropriate use and maintenance of organisation vehicles.
* Assist the Reception/Administration Team with housekeeping, catering and events coordination.
* Update SDS records and maintain first‐aid kits.
Quality Systems and Administration
* Collect monthly statistics and enter data into the DSS Data Exchange database and other reporting systems.
* Develop and maintain policies and procedures in line with the Human Services Quality Framework.
Reception
* Attend to all incoming telephone calls, emails and women presenting at the centre.
* Record accurate information for assessment.
* Notify appointment arrivals, cancellations and re‐bookings promptly.
* Provide information and referral as required.
* Record visitor and service user contact statistics.
* Support women in accessing telephone and computer facilities.
* Oversee centre security and manage opening and closing tasks.
Award Classification
Commensurate with experience under the SCHCADS Award Level 3.
