Offer description

We are seeking a professional, well-organised and understanding receptionist for our small but busy private practice. You will be joining a supportive and friendly team of Psychologists, working in a well established practice of 15 years.

Starting at our new expanded facility we will offer:

· Full, supportive onsite training

· Provide ongoing training where applicable

The successful candidate will be working approximately 9-5 Monday through Thursday and provides a welcoming and professional first point of contact for clients, health professionals, and other stakeholders. This role supports the efficient operation of the clinic by managing client inquiries, coordinating appointment schedules, and handling administrative tasks with accuracy and attention to detail.

· Excellent verbal, written and interpersonal communication skills, and the ability to deal with people facing a variety of personal difficulties

· Strong ability to prioritise tasks

· Reliable, honest and motivated

· A flexible, "can do" attitude and a willingness to take on ad hoc tasks

· Exceptional attention to detail

· Ability to work autonomously and manage your workload

· High level of discretion and professionalism when handling sensitive client information

· Previous reception experience would be essential

· Ideally, previous experience with Halaxy software, at a minimum demonstrated ability to use software/computers, through Microsoft office.

Duties:

· Answer calls and inquiries from clients, GPs, Psychiatrists, and other health professionals.

· Act as the first point of contact, providing a professional and welcoming experience for clients.

· Take new referrals and book appointments over the phone and via email.

· Manage the diaries of Psychologists to ensure efficient scheduling.

· Fill cancellations with clients from the waitlist and accommodate ad-hoc requests from clinical staff.

· Process client payments, issue receipts, and handle Medicare claims.

· Perform booking, diary management, and client-related tasks using Halaxy software.

· Update and maintain client information in the system.

· Assist in billing tasks and ensure accurate reporting.

· Provide general administrative assistance to clinical staff.

· Ensure the smooth operation of day-to-day clinic activities.

· Maintain a clean and tidy work area, kitchen, consulting rooms and waiting area
