Finance Assistant and Property Administration
Gumala Investments Pty Ltd is the Trustee of the General Gumala Foundation (GIPL). The Foundation was established as a public benevolent institution for the objective of relief of poverty, sickness, suffering, distress, misfortune or destitution of the Gumala Traditional Owners – the Banjima, Nyiyaparli, and Yinhawangka people.
We are seeking a forward-thinking, detail-oriented Finance and Property Administration Officer to join our team on a part-time basis, working 25 hours per week, Monday to Friday.
This position is responsible for providing finance support for the management of Gumala Investment's property portfolio in line with policies. This is achieved by ensuring timely and accurate invoicing and assisting with maintenance request, scheduling inspections and assisting the Property and Tenancy Manager as required.
Duties and Responsibilities
Finance Support
* Review and reconcile tenant rental income and expenditure.
* Liaise with the internal finance team to reconcile rental income and receipts in the property management system with the accounting system.
Tenancy Management
* Respond to tenant queries regarding invoices, maintenance, and tenancy matters.
* Supports Property Manager in management of tenancies.
* Maintains and provide statistics for property performance indicators.
* Support Property Manager to prepare for Strata Management meetings as required.
* Support Property Manager to provide analytics for the monthly board reports.
* Support the finance team with property and tenancy financial matters.
Rental payment
* Monitors the payment of rent and other charges, including Centrelink and direct debit processes.
* Supports the Property Manager to manage rent in arrears and initiate debt recovery.
Property Care and Maintenance
* Carry out property inspections of properties to ensure compliance with tenancy agreements.
* Complete property condition reports in accordance with the Property Maintenance Policy.
* Organise quotes as required for refurbishment of properties and monitor progress of works through to completion of project.
* Initiate maintenance and minor works and monitor progress.
* Liaise with and monitor contractor performance to ensure work is completed within required timeframes.
Eligibility Requirements
* National Police Clearance or ability to get one.
* Possession of a current WA 'C' Driver's License.
* Strong time management, organisational and multitasking skills.
* Understanding of WA Residential Tenancies Act 1987.
* Well-developed computer skills, particularly using the Microsoft Office suite (including Excel).
* Ability to travel to the Pilbara as required.
