Your role within QFleet will support the department to provide vehicle leasing and strategic fleet management services for over 11,000 vehicles across Queensland.

QFleet is committed to client service excellence by focusing on delivering an integrated package of flexible fleet management services and value-adding solutions reflecting Queensland Government policy and supporting the delivery of government services and programs to the community.
The primary purpose of the role is to provide executive support to the General Manager, QFleet, by managing executive correspondence and requests, secretariat for QFleet committees, coordinating performance reporting and audit responses.

What you will be doing:

• Provide high level executive support to the General Manager, including diary/calendar management and document preparation, highlight emergent issues and present sound recommendations on operational matters.

• Research, analyse, review and draft correspondence, providing recommendations, ensuring QFleet complies with corporate reporting processes and
that departmental briefing notes and submissions are to standard.

• Assist and action incoming requests received by the Deputy Director-General office and work within a shared mailbox prioritising request in line with timeframe targets. Utilise the Department's Mincor system for the management of incoming and outgoing correspondence.

• Actively contribute to QFleet's success through participation in projects and activities, and by developing and maintaining strong professional relationships and networks with stakeholders across the department.

• Act as point of liaison between QFleet and other areas of HPW for the coordination, management and flow of information as well as the management of timely responses across the organisation including:
‒ Audit requests
‒ Right to Information enquiries
‒ Fraud and Corruption (Integrity Services Unit)
‒ Performance reporting and Estimates

• Undertake secretariat duties for internal meetings where the General Manager is the chair including coordinating management reports, preparation of agendas, minutes and follow up of actions.

The skills you will need include being able to:

• Excellent written and verbal communication skills including the ability to prepare briefs, executive correspondence, policy documents.

• Demonstrated ability to confidently communicate in a clear, concise and articulate manner and communicate goals and objectives to others.

• Demonstrated ability to autonomously use a high level of initiative and self motivation to see tasks through to completion and resolve office issues.

• Demonstrated ability to maintain a high standard of practice through sound governance and risk management.
