About You

Do you enjoy balancing compassionate service with structure, working behind the scenes to keep programs running smoothly? You'll be confident juggling a range of admin and coordination tasks, while collaborating with stakeholders and meeting deadlines with ease.
We're looking for someone who brings both heart and organisation to their work, with the following skills and experience:
* Proficient IT skills, including intermediate-level experience with Microsoft Office (especially Excel), CRM systems, and accurate data entry.
* Demonstrated ability to handle confidential and sensitive information with discretion and professionalism.
* Strong verbal and written communication skills, with the confidence to engage across all levels.
* A proven ability to work independently as well as part of a collaborative team.
* Highly organised, methodical, and capable of preparing reports and managing a range of administrative tasks.
* Experience working in a mental health setting, or lived experience of mental health challenges (either personally or as a carer), is highly regarded.
It is a requirement of this position to meet all compliance requirements concerning NDIS Work Screening, Working With Children card, work rights and possess a current & valid driver's licence.
About The Role
The Royal Commission into Victoria's Mental Health System has challenged us to think beyond incremental improvement to deliver a mental health system that helps all Victorians live their best lives. In a region characterised by fragmentation, complexity, and access barriers, implementing the Greater Geelong - Queenscliff Mental Health and Wellbeing Local (GGQ Local) is a key step in realising this goal.
The GGQ Local is delivered by a consortium of equal partners: Barwon Health, Watharoung Aboriginal Cooperative Ltd, Wellways Australia and ermha365.

As a Service Delivery Administration Officer, you'll play a vital role in keeping daily operations running smoothly across multiple teams. Working closely with Operations Managers, Implementation Leads, Program Coordinators, Team Leaders, and frontline teams, you'll provide essential administrative support that helps ensure high-quality service delivery for people accessing our mental health and wellbeing programs. This is a great opportunity for a proactive, organised professional who thrives in a dynamic environment and enjoys being the go-to person for keeping things on track.
Your responsibilities will include:
* Supporting the onboarding and induction of new team members, and processing incoming and outbound referrals.
* Managing staff rosters (in-line with the SCHADS award and Barwon Health enterprise agreement) and maintaining accurate records of staff leave and availability.
* Scheduling meetings, preparing agendas, and accurately recording and distributing meeting minutes.
* Assisting with consumer data maintenance, document management (including scanning, filing, and records handling), and general administrative duties.
* Providing support not only to the Wellbeing and Peer Support Services team, but also to the Community Engagement team, Concierge team, Program Coordinators, and Operations Manager as needed.
