Myndshift Group has been engaged by our client partner Joyce Mechanical Services to recruit an experienced Workshop Scheduler / Planner to join their Mackay workshop team.
This is a key role responsible for planning and coordinating major equipment rebuilds and repair projects. You will work closely with workshop supervisors, parts interpreters, and management to ensure projects are properly scoped, scheduled, and resourced to deliver high-quality outcomes for their customers.

About the Role:
As the Workshop Scheduler / Planner, you will translate approved quotes and project scopes into detailed workshop execution plans. Your focus will be ensuring labour, parts, third-party services, and workshop resources are aligned to keep projects progressing efficiently.
This role allows workshop supervisors to focus on safety, leadership, and quality while you coordinate the planning and scheduling that keeps the workshop running smoothly.
Key Responsibilities:
Work Scope DevelopmentDevelop detailed work scopes from approved quotes, tenders, and project instructionsBreak projects down into clear task sequences for workshop executionEnsure scopes include labour, parts, services, and technical requirementsReview scopes with supervisors prior to project commencement
Parts Planning & CoordinationDevelop complete parts lists from project scopesWork with Parts Interpreters to source and procure componentsIdentify critical path components and monitor delivery timelinesTrack parts supply against workshop schedules and escalate delays
Workshop SchedulingMaintain the workshop schedule for all active and upcoming projectsCoordinate project start dates, bay allocation, and labour planningEnsure alignment between parts availability and workshop activities
Third-Party Services CoordinationCoordinate external and specialist services including:NDT inspectionsMachiningHeat treatmentSpecialist testingOEM servicesTransport and logistics
Daily Workshop CoordinationFacilitate daily planning meetingsReview project progress and upcoming workCommunicate priorities and schedule risks
Variation & Project Management SupportMonitor progress against original scopeIdentify and document scope changesAssist supervisors in capturing supporting evidence for variations
Continuous ImprovementSupport improvements in planning systems and scheduling processesContribute to post-project reviews and lessons learned
About You:
We are looking for someone who is organised, proactive, and comfortable coordinating complex mechanical projects.
You will ideally have:Experience in workshop planning, scheduling, or project coordinationBackground in heavy equipment, mining, mechanical rebuilds, or engineering workshopsStrong understanding of mechanical repair and rebuild processesAbility to develop work scopes and parts requirementsStrong organisational and communication skillsAbility to manage multiple projects and competing prioritiesExperience coordinating suppliers, contractors, and internal teams
