Your new team
To serve as a strategic administrative partner to the General Manager (GM) of Development. This role ensures the seamless operation of the Development Department by providing high‐level administrative support, optimizing executive workflows, and fostering a culture of efficiency and engagement across the leadership team.
The role
* Strategic Inbox & Diary Management: Proactively manage the GM's schedule, prioritizing high‐impact meetings and protecting \"deep work\" time.
* Workflow Optimization: Leverage AI tools and automation to streamline administrative tasks, document drafting, and reporting.
* Financial Administration: End‐to‐end management of Departmental Purchase Orders, vendor invoicing, and reconciliation. Ensure accuracy and timely submission to Accounts Payable.
* Budget Coordination: Track and monitor the GM's budget, including Reward & Recognition expenditure and gift registers.
* Technical Liaison: Act as a gatekeeper and point of contact, translating and routing communications within a fast‐paced Technology environment.
* Event Coordination: Support the planning and execution of team‐based events and engagement programs to boost department morale.
* Meeting Excellence: Coordinate internal and external meetings, including agenda preparation, high‐quality minute‐taking, and tracking actionable outcomes.
* Governance & Reporting: Support the leadership team in meeting mandatory reporting deadlines and maintaining software license registers.
* Regulatory Support: Assist in adhering to APRA prudential standards by monitoring compliance metrics and flagging critical correspondence for the GM.
* Risk Framework: Contribute to the identification of operational and financial risks, supporting the maintenance of robust internal controls.
* Audit Readiness: Support the department's response to internal and external audits/examinations.
What experience you'll bring
* 3+ years as a Personal or Executive Assistant supporting senior management teams, or relevant experience.
* Advanced proficiency in Google Workspace (Docs, Sheets, Slides) and Microsoft Office.
* Proven experience using AI tools (e.g., Gemini, ChatGPT, automation scripts) to enhance productivity and output quality.
* Exceptional written and verbal skills with an uncompromising eye for detail.
* Practical experience with financial processes, including invoicing and budget tracking.
* High emotional intelligence (EQ) and the ability to build relationships at all levels.
* A \"solution‐first\" mindset when resolving administrative bottlenecks.
* Resolution of low‐to‐moderate complexity administrative processes.
* Provide data‐backed recommendations to the GM for departmental and budgetary approvals.
