The Role
You will be the first point of contact for clients, partners and staff, delivering a professional and welcoming front of house experience within a professional corporate environment. Based on site in our Newcastle office five days per week, you will play an important role in supporting a positive and well‐functioning workplace.
Responsibilities
* Acting as the first point of contact for the office, welcoming clients, partners, visitors and staff in a professional manner while delivering a high‐quality front of house experience.
* Providing inductions for new starters, ensuring they are familiar with workplace facilities, procedures and office services.
* Managing office access cards for staff and visitors, ensuring building access protocols are followed and supporting the physical security of the office.
* Supervising Concierge support staff, ensuring tasks are completed efficiently and to a high standard.
* Handling incoming calls via the switchboard, directing enquiries and taking accurate messages.
* Coordinating meeting room bookings and ensuring rooms are set up including arranging furniture, catering and AV/technology. Support internal and external events including setting up the Wellness breakfast weekly.
* Coordinating couriers, deliveries and mail distribution, and managing the ordering of office supplies including stationery and paper.
* Supporting the upkeep of kitchen and staff areas, including maintaining stock levels, replenishing supplies and assisting with coffee machines and shared amenities.
* Working with the Office Services Manager, liaising with building management and external vendors to ensure a well‐maintained workplace environment and address maintenance issues as required.
What You Offer
* Previous experience in a corporate reception or front of house role within professional services, such as legal, banking, consulting, financial services
* A genuine passion for delivering exceptional client service with warmth and professionalism
* Strong working knowledge of Microsoft Outlook, Word and Excel
* Excellent organisational skills with the ability to multitask and prioritise
* A collaborative and team focused approach
* The ability to engage confidently with a diverse group of internal and external stakeholders
