Assistant Vice President – Exchange Traded Fund (ETF) Operations

This role is open at Assistant Vice President level (Internal Job Title: Fund Accounting Sr Analyst - C12) and is based in Sydney, Australia. You will contribute to monitoring, management, and enhancement of ETF operational processes, with a focus on Portfolio Composition File (PCF) reporting and comprehensive Order Management, including Creation/Redemption order placement and primary market settlements (cash and in-kind transactions).
Overview
We seek highly motivated ETF Operations professionals to join our team. The role involves overseeing the end-to-end operational lifecycle for ETF products, ensuring efficiency, accuracy, and timeliness in ETF service offerings.
Key Responsibilities
* Daily Operations & Service Delivery: Monitor and manage all daily ETF operational activities to ensure smooth, efficient functioning and adherence to global best practices.
* Daily reviews of ETF operational activities to guarantee consistent service delivery with high accuracy and timeliness, adhering to SLAs.
* Resource management: Allocate daily tasks for the ETF Operations team, ensure adequate coverage, and monitor real-time task completion.
* Stakeholder Management & Communication: Act as a primary point of contact for internal and external ETF operational inquiries; manage expectations and provide timely, accurate resolutions and communications.
* Relationship cultivation: Build strong relationships with Fund Managers, Authorized Participants, internal product teams, and technology partners to influence outcomes and drive operational excellence.
* Project Leadership & Change Management: Participate in ETF fund launches (review Operating Guidelines, AP Agreements, and Fund Prospectuses); perform system setups and test reports; provide updates to management and ensure launches align with project plans.
* Change requests and ad-hoc projects: Understand requirements and propose solutions aligned with standard product offerings and strategic objectives.
* Risk Management & Control: Assist with audit-related requests; escalate production issues promptly; perform impact assessments and maintain compliance with Citi's policies and regulatory requirements.
* Technology & Innovation: Contribute to technology enhancements by suggesting operational improvements and addressing production issues.
Required Skills & Experience
* A minimum of 7+ years of relevant ETF Operations or fund services experience
* In-depth knowledge of ETF operations (PCF, order management, settlement) and an understanding of fund accounting, listed registry, custody, and corporate actions
* Experience with project management, change initiatives, and system enhancements
* Analytical and problem-solving abilities, including root cause analysis and exception management
* Strong written and verbal communication; ability to articulate complex issues and influence stakeholders
* Excellent organizational, time management, and multitasking skills in a fast-paced environment
Education
* Related Bachelor's degree or equivalent certification in Finance, Business, or a related field.
