Primary objective 
To provide a high level of business support and coordination to the District Manager and Prison Health Leadership team, 
including managing travel arrangements, procurement, accounts payable and general administrative duties. Also provide 
onsite administrative support to Alice Springs Correctional Centre and Police Watch House, ensuring the efficient and 
effective functioning of the primary health clinics as required.
Key duties and responsibilities 
1. Provide professional secretariat support as the first point of contact for communications for the District Manager and
leadership team. 
2. Establish and maintain administrative control systems to record and monitor the flow of correspondence, ensuring that
the presentation of all documents is correct and deadlines are met. 
3. Provide office administration services through record and information management, arranging conferences and meetings,
booking travel, preparation and circulation of meeting papers and minute taking. 
4. On site at Alice Springs Correctional Centre: Participate in the efficient and effective management of the clinic reception
area scanning and filing, management including transport lists and inmate appointments and other duties as required. 
5. Undertake purchasing, procurement and invoice management for the work unit, in line with NT Health policies and
procedures. 
6. Effectively manage patient files on the electronic medical records system (Primary Care Information System, PCIS),
particularly discharges and location changes. 
7. Follow defined service quality standards, Workplace Health and Safety (WHS) policies and procedures relating to the
work being undertaken in order to ensure high quality, safe services and workplaces.
Selection criteria 
Essential 
1. Well-developed oral and written communication skills with a pleasant phone manner to be able to communicate
effectively and develop relationships with clients, peers and other departmental officers. 
2. Well-developed organisational skills of a high order including the ability to prioritise and complete a number of tasks
concurrently, within established timeframes while exercising initiative and attend to detail. 
3. Knowledge and experience in focusing on client needs and providing a friendly and efficient service. 
4. High degree of professional integrity, discretion and confidentiality and ability to negotiate in sensitive matters where
discretion and confidentiality are critical. 
5. Demonstrated work ethic with the ability to apply initiative and solve practical problems. 
6. Sound knowledge of word processing and computers, particularly, data management and software applications such as
Microsoft Office, Outlook, Power Point and Excel.
Desirable 
1. Awareness, understanding and knowledge of procurement and travel processes, with ability to interpret legislation.
