About the Role
The Executive Assistant creates leverage for the Managing Partner, leadership team, and broader business by bringing clarity, organisation, and momentum to a dynamic environment.
As a trusted partner to the Managing Partner and leadership team, you will proactively manage priorities, commitments, information, and logistics, ensuring leaders can focus their time and energy on what matters most. You anticipate needs before they arise, surface risks early, and help turn intentions into outcomes.
At the same time, you will play an important role in maintaining the operational environment that enables the team to perform at its best. From onboarding new team members and coordinating travel to supporting office operations, technology, events, and day‐to‐day business rhythms, you help ensure things run smoothly behind the scenes.
This is an entrepreneurial business that values initiative, learning, and progress over bureaucracy. Success in the EA role requires sound judgment, adaptability, and a willingness to move seamlessly between strategic support and hands‐on execution. This role goes beyond traditional administration or calendar management— it requires initiative, discretion, ownership, and a genuine commitment to helping others succeed.
Key Responsibilities
* Maximise executive time & focus – Ensure calendars, priorities, commitments, and workflows reflect what matters most. Create the space, structure, and rhythm that enables leaders to focus on high‐value priorities and deep work.
* Create clarity, momentum & execution in a dynamic environment – Bring order and progress when information is incomplete, priorities are evolving, or multiple initiatives are competing for attention. Balance pragmatism with discipline, implementing fit‐for‐purpose processes that help the business move forward without unnecessary complexity.
* Represent leadership with judgment & discretion – Act as a trusted extension of the Managing Partner and Leadership Team. Build trust through professionalism, sound judgment, confidentiality, and a genuine commitment to helping others succeed.
* Be the operational backbone of the business – Own the smooth running of the office and the many day‐to‐day details that help the team perform at its best. From facilities, travel, technology, onboarding, vendors, subscriptions, and team logistics—ensure critical operations run seamlessly and pragmatically and that obstacles are dealt with before they become a distraction.
* Anticipate needs & solve problems before they become issues – Operate with initiative and ownership, anticipating needs, identifying risks early, and provide proactive support with minimal direction.
* Curate information & communication – Triage, act on, raise, or resolve communications independently where possible to ensure stakeholders receive the right information, at the right time, in the right format.
* Champion continuous improvement – Look for better ways of working across systems, processes, and routines. Preserve PieLAB's entrepreneurial and down‐to‐earth culture while introducing practical improvements that are useful, scalable, and proportionate to the needs of the business.
* Shape a positive team experience & culture – Be a visible ambassador for PieLAB's values and culture. Help create an environment where people feel connected, supported, and able to do their best work through thoughtful communication, team rhythms, events, onboarding experiences, and relationship‐building across the business.
* Deliver seamless company events & experiences – Support the planning and execution of key events including Leadership Conferences, Investor Days, Quarterly Offsites, team celebrations, and other moments that strengthen relationships and reinforce culture.
