Carlile Swim is one of Australia's most respected learn to swim organisations, with over thirty centres nationwide and a proud history of helping children become safer, more confident swimmers. As we continue to grow, we are looking for a highly organised and people focused National Projects Coordinator to support the successful opening of new centres and ensure each location launches ready to delight our communities.
About the Role
This role plays a key part in bringing new Carlile Swim schools to life. You will coordinate the complete setup of new centres including recruitment and onboarding, team training, operational readiness, systems setup, marketing launch planning and customer experience activation. You will work closely with state based Operations, People, Marketing, CX, Finance and IT to ensure every centre opens smoothly and to Carlile standards.
When not working on a centre opening, you will support Area Leads by assisting centres with operational leadership, coaching, performance support and problem solving.
Key Responsibilities
Coordinate leadership recruitment and onboarding for new centre openings
Support the Swim School Manager and People Team with teacher and administration team recruitment, training and workforce planning
Work with Marketing and centre leadership to deliver local launch campaigns and community engagement
Partner with CX and program teams to establish class schedules, operating hours and staff rosters
Manage setup and testing of booking systems, CRM, POS, billing, rostering and communication tools
Coordinate the procurement and setup of operational equipment, safety resources and administrative tools
Oversee compliance documentation, safety standards and insurance requirements
Manage utilities, supplier agreements, preventative maintenance contracts and merchant services setup
Run centre readiness checks including operational, compliance and safety audits
Lead the overall centre opening project plan including timelines, risks, budgets and building requirements
Provide on site support during soft opening and early weeks to ensure a smooth handover to Operations
Support centres in an Area Lead capacity between openings
About You
You are a natural organiser who thrives in a dynamic environment and enjoys bringing people and projects together. You build strong relationships, communicate clearly and stay calm when juggling competing priorities. You enjoy both structured project work and hands on operational support.
Skills and Experience
Strong project management and coordination experience
Operational leadership ideally in aquatics, recreation, hospitality or multi site environments
Experience coordinating recruitment, onboarding and training processes
Confident with operational systems and technology platforms
Excellent communication and stakeholder management skills
Strong understanding of customer experience and service delivery
Ability to manage timelines, risks and budgets
Current Working With Children Check or willingness to obtain
Teacher of Swimming and Water Safety qualification (or willingness to obtain)
