Job Description
As a key member of our team, you will be responsible for providing exceptional front-of-house support to our clients and stakeholders. The ideal candidate will possess excellent communication skills, both written and verbal, and be able to work effectively in a fast-paced environment.
* Key Responsibilities:
* Operate the main reception telephone system, responding to incoming calls in a professional manner and taking accurate messages when required.
* Screen clients for appropriate referrals, ensuring they meet eligibility requirements and provide relevant information to staff.
* Register new clients and update existing client demographics, maintaining accurate and up-to-date records.
* Communicate important messages and information to relevant staff, ensuring seamless communication across teams.
* Ensure daily tasks are completed and signed off, including processing client service fees and managing appointments.
* Maintain a clean and professional appearance of the front-of-house area, including the reception desk and waiting area.
* Meet and greet all incoming visitors, registering them and providing necessary access and information.
* Provide administrative support to program areas, including filing, photocopying, printing, mail merges, correspondence, scanning, and creating spreadsheets.
* Ensure distribution of hard copy and soft copy correspondence, as required.
* Manage site stationery, paper supplies, kitchen supplies, Myki cards, voucher/gift cards, Cab Charge and receipt books.
* Maintain the reception manual, ensuring processes are followed accordingly.
* Coordinate petty cash requests and undertake regular account reconciliations.
* Contribute to the opening and closing of sites.
* Order and maintain needle syringe program equipment and stock.
* Ensure services are delivered in an equitable and inclusive manner, respecting cultural sensitivities.
* Maintain client confidentiality at all times.
* Perform other duties as directed by the Team Leader, Reception services following consultation with relevant program areas.
Requirements

* Organizational Ability: High level of organization, with attention to detail and ability to prioritize tasks effectively.
* Technical Skills: Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
