OFFICE ADMINISTRATOR / OFFICE COORDINATOR – ELECTRICAL & AIR CONDITIONING

Location: Geelong, Bellarine & Surf Coast (Hybrid – Office & Work From Home)

Employment Type: Full-Time / Part-Time (Flexible)

ABOUT US

We are a growing electrical and air conditioning business servicing residential and commercial clients across Geelong, the Bellarine and the Surf Coast. We specialise in residential and commercial electrical, air conditioning installation, maintenance and service work. We pride ourselves on professionalism, reliability, and high-quality workmanship.

We are currently seeking an organised and reliable Office Administrator / Office Coordinator to support our operations and help manage day-to-day office functions.

ABOUT THE ROLE

This is a key administrative and customer service role, working closely with management, technicians, and customers. You will be responsible for job scheduling, administration, invoicing, and supporting accounts and operations.

Flexible hours and days can be arranged, with the option to work both from home and in the office.

KEY RESPONSIBILITIES

- Answering phones and responding to emails

- Customer service and client liaison

- Booking, scheduling and coordinating jobs

- Managing work orders and job management systems

- Preparing invoices, quotes and purchase orders

- Data entry and document management

- Processing payments and supporting accounts payable/receivable

- Liaising with suppliers and subcontractors

- Maintaining records and compliance documentation

- General office administration duties

ABOUT YOU

- Previous experience in office administration, administration support or office coordination

- Experience in trade, construction, electrical or HVAC industries highly regarded

- Strong organisational and time management skills

- High attention to detail and accuracy

- Confident communicator (written and verbal)

- Competent with Microsoft Office and business software

- Experience with ServiceM8, Xero or similar systems preferred

- Ability to work independently and as part of a team

- Reliable, proactive and professional attitude
