Executive Assistant Role
This is an exciting opportunity to join our team as an Executive Assistant to the Mayor and Councillors. You will provide high-level executive and administrative support to ensure the efficient coordination of civic duties, meetings, and communications.
This role requires a strong ability to manage competing deadlines, work effectively under pressure, and maintain accuracy and attention to detail. The ideal candidate will have advanced proficiency in Microsoft Office Suite, experience with records management systems, and electronic diaries.
* Key Responsibilities:
* Efficiently manage schedules, correspondence, meetings, and travel while preparing high-quality documents and maintaining confidentiality.
* Act as a professional first point of contact, fostering strong relationships and delivering responsive, courteous service in line with Council values.
* Plan and deliver civic events, meetings, and ceremonies by managing logistics, preparing materials, and ensuring smooth execution.
* Prepare accurate correspondence and reports, track enquiries, and manage records to support informed decision-making and timely responses.
* Maintain organised systems and proactively identify improvements to enhance administrative processes and support team collaboration.
* Demonstrate integrity, discretion, and respect in all interactions, upholding Council policies and supporting ethical governance.
Requirements:
* Qualifications:
* Demonstrated experience in providing high-level executive and administrative support, including diary and schedule management, correspondence handling, document preparation, and coordination of meetings, travel, and events.
* Proven ability to handle sensitive and confidential information with discretion and sound judgment, particularly in a local government or politically sensitive environment.
* Excellent verbal and written communication skills, with the ability to draft correspondence, reports, and briefings, as well as engage effectively with diverse stakeholders.
