Purpose of the Role
As our new Personal Assistant to the Operations Department, you will be providing general assistance, daily administration and organisational support to the General Manager Operations.

As our new Personal Assistant to the Operations Department, you will be providing general assistance, daily administration and organisational support to the General Manager Operations.
You Will

* Assist the Senior Leadership team with administrative tasks as required across the three operational sites (North Lakes, Kawana and Toowong)
* Co-ordinate the General Manager's diary and email on a daily basis
* Prepare and submit on time reports and presentation material as required
* Liaise with various internal & external stakeholders and divisions on behalf of the GM
* Organise, attend and taking of minutes as required
* Organise and co-ordinate events, site, team and individual meetings
* Organise travel, accommodation and external agendas as required including collating & calculating expense claims
* Monitor leave and mandatory training requirements for the department
* Prepare and submit required HR forms and IT job requirements as required
* Adherence to company and department confidentiality guidelines
* Provide backup to Executive Assistant and other Personal Assistants across Sales and Service when on leave etc.
Knowledge And Experience
* Proven diary management and organisational skills including excellent interpersonal & communications skills
* Intermediate to Advanced level in Microsoft Suite and Google Docs as well as proficiency in email and internet capabilities
* Ability to demonstrate attention to detail at all levels including proof reading ensuring data accuracy
* Experience with corporate presentations & small event management desirable
* Demonstrated capacity for self-management, participative decision-making, team participation and the ability to accept promote and self-manage change

Requirements
* Provide administrative and organisational support to the General Manager - Operations
* Assist the Senior Leadership team with administrative tasks as required across the three operational sites (North Lakes, Kawana and Toowong).
* Co-ordinate the General Manager's diary and email on a daily basis
* Prepare and submit on time reports and presentation material as required
* Liaise with various other divisions on behalf of the GM
* Liaise with internal and external recruitment as required
* Organise, attend and taking of minutes as required with timely publication and follow up for action items maintained
* Organise and co-ordinate events, site, team and individual meetings
* Organise travel, accommodation and external agendas as required
* Collate and calculate expense claims
* Monitor leave and mandatory training requirements for the department
* Prepare and submit required HR forms and IT job requirements as/when required
* Input and follow up on ‘To Do’ tasks within time constraints
* Adherence to company confidentiality guidelines
* Provide backup to Executive Assistant and other Personal Assistants across Sales and Service when on leave etc.
* Identify and report potential risks or inadequate controls related to compliance or operational risks
* Champion a culture of risk and compliance across the division
* Maintain awareness, understanding and compliance with Company policies and procedures, including the on-time completion of mandatory training
