About the role:
The Administration Assistant, People Hub provides comprehensive administrative and secretarial support to the People Hub Unit and contributes to the efficient overall functioning of the office.
Duties and responsibilities:
Screen telephone calls and answer queries or redirect callers to facilitate effective communication.
Review incoming and outgoing mail and correspondence, refer to relevant parties for appropriate action and maintain tracking of replies to ensure adherence to deadlines.
Maintain files and documents using the departments records management system to enable effective retrieval of information.
Provide executive and administrative support to the Manager, People Hub as required and ensure that all activities are carried out effectively and efficiently.
Coordinating work priorities to ensure the timely completion of matters requiring Manager People Hub's consideration and approval.
Organise meetings, workshops, etc including distributing material, setting up equipment, organising catering and liaising with speakers and attendees when required.
Invoice handling and undertake petty cash for the office; and coordinate stationary and stores supplies for the office.
Liaising regularly with Ambulance staff, senior managers and through the appropriate use of high-level interpersonal skills ensuring cooperative, efficient relationships and procedures are established and maintained.
Qualifications and experience:
Demonstrated experience in in providing a broad range of administrative and clerical related support services.
