Admin / Finance Assistant (Maternity Leave Cover)

The Company

Oceanic Food is one of Australia's longest standing and most respected importers of quality frozen seafood. With well‑known brands and a strong national customer base spanning distributors, wholesale accounts, and retail, the team takes pride in delivering exceptional products and service across the Eastern seaboard.

We are seeking an organised and dependableAdmin/Finance Assistant to join our team during a maternity leave period (approx. 15 months, until end February 2027). There is potential for ongoing employment beyond the initial term.


Key Responsibilities

* Provide administrative and finance support across the Sales and Accounting teams
* Process invoices, sales orders, credit notes and loading documentation
* Assist the Accountant with daily banking and financial transactions
* Manage general reception duties, including answering calls and responding to emails professionally
* Perform general office administration to maintain smooth operations
* Monitor goods in transit and stock on hand to ensure accuracy and compliance with inventory standards
* Maintain inventory systems and update stock records with precision
* Deliver exceptional customer service to both internal and external stakeholders


Required Skills & Qualities

* Competency with Microsoft Office, especially Excel
* Ability to learn new systems quickly
* Strong attention to detail and high accuracy in finance and administrative tasks
* Excellent communication skills and a professional phone manner
* Ability to prioritise and multitask in a fast‑paced environment
* Strong team player with a proactive, service‑oriented approach
* Valid Victorian driver's licence (required for banking duties)
* Knowledge of SAP B1 highly regarded
* Fluency in Mandarin or Cantonese highly regarded
* Understanding of purchasing and inventory control is highly desirable
* Strong analytical and problem‑solving skills
