To ensure the smooth operation of office functions while providing high level executive support to the Company Director.
This role combines proactive office management with confidential administrative assistance, supporting organisational efficiency and stakeholder engagement.You'll play a pivotal role in supporting our leadership team and ensuring our office runs smoothly.

Hours are negotiable but the right candidate will be available to work 5ResponsibilitiesProvide confidential administrative and secretarial support to the Director.Manage the Director's calendar, schedule meetings, and coordinate travel arrangements.Prepare, collate, and distribute meeting papers, reports, and correspondence.Take minutes for Board, Executive, and stakeholder meetings as required, and follow up on action items.Maintain confidentiality at all times and handle sensitive information with discretion.Office Management & AdministrationOversee day to day office operations, including supplies, vendor liaison, and Strata company coordination.Assist with general administrative tasks across departments, including marketing and event coordination.Organise company events, training sessions, and staff functions.Support travel bookings and logistics for staff and visitors.Maintain office policy and procedure documentation and ensure compliance with organisational standards.Records & ComplianceMaintain accurate records and assist with HR-related administrative tasks.Ensure adherence to WHS, privacy, and compliance requirements.Participate in continuous improvement initiatives and HSEQ responsibilities.Additional InformationTraining Alliance Group policies/procedures and protocols;Privacy Act and Equal Employment Opportunity ActWork, Health and Safety ActGovernment/Industry Codes of ConductPerformance targets will be negotiated as part of Training Alliance Group regular performance planning and review processes.The incumbent is required to undertake a police and Working With Children record check prior to employment.The incumbent is expected to travel intra-state and interstate.The incumbent can be expected to be allocated duties not specifically outlined within their position description, however within the capacity, qualifications and experience normally expected from a person occupying this position.Skills and AttributesA bias to action, a background in helping business goals become business outcomes.Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organisational and time management skills with the ability to prioritise competing demands.Excellent written and verbal communication skills.High level of discretion and confidentiality.Comfortable working with numbers and basic financial administration.Proactive, adaptable, and solutions-focused with a "can-do" attitude.Experience and QualificationsPrevious experience as an Executive Assistant or Office Manager (essential).
Experience in managing office operations and supporting senior executives.Certificate in Business/Office Administration or equivalent qualification (desirable).
Project coordination experience (desirable).
