About the role
You will lead the end-to-end administration of student clinical and practicum placements across the School of Nursing nationally. Working closely with academic and professional staff, placement providers, and regulatory bodies, the role ensures placements are planned, administered and monitored in line with course requirements, accreditation standards, contractual agreements and University policy.
Key Responsibilities
* Lead the national administration of student clinical and practicum placements.
* Supervise, train, and support placement administration staff, including performance planning and development.
* Build and maintain strong professional relationships with students and key stakeholders.
* Work collaboratively with academic staff to support alignment between placement administration and curriculum needs.
* Liaise with external partners and placement providers to facilitate placement agreements, onboarding processes and ongoing relationship management.
* Support the development and delivery of student briefings and orientation materials related to placements.
* Coordinate and oversee end-to-end administrative processes of practicum placements including requests, scheduling, onboarding, offers and allocation through the placement management systems.
* Oversee compliance monitoring and processes, including verification of mandatory student documentation.
* Maintain accurate placement records, ensuring data integrity.
* Develop and maintain placement administration guidelines, policies and procedures.
* Monitor contract status and maintain compliance with regulatory and accreditation requirements.
* Review and prepare placement cost projections.
* Oversee and reconcile invoice processing to ensure accurate and timely payment to partners.
* Develop and maintain national processes, procedures and resources.
* Verifying student documentation (e.g., WWCC, StatDec, police checks) and coordinate onboarding.
* Monitor data quality and prepare reports on placement activities.
Qualifications, skills & experience
* A degree with relevant experience in administrative management; or extensive experience and demonstrated expertise in practicum placement coordination; or broad experience in administrative roles; or an equivalent combination of relevant experience and education/training.
* Demonstrated experience in coordinating complex administrative processes and systems, preferably in a higher education or health-related setting.
* Demonstrated experience in leading, supervising or coordinating a team, with the ability to delegate tasks, support team development, and foster a collaborative and high-performing work environment.
* High-level organisational skills with the ability to manage competing priorities, deadlines, and stakeholder needs across multiple locations.
* Strong communication and interpersonal skills, including the ability to liaise effectively with internal and external stakeholders.
* Proven ability to work both independently and as part of a team in a dynamic and fast-paced environment.
* High level of accuracy and attention to detail in data management and reporting.
* Proficiency in Microsoft Office and experience using placement or student management or other data base systems (e.g. Sonia, InPlace).
* Experience in financial administration including processing invoices, monitoring expenditure or contributing to budget planning.
* Understanding of contract management or service level agreements and the importance of compliance in external partnership agreements.
