About The Role
We are seeking an External Communications Coordinator for a Casual opportunityto join our friendly and dedicated team at Tasmania Divisional Headquarters
Purpose Of The Role
This role plays a vital part in supporting the External Communications Manager to ensure the smooth and successful delivery of a diverse range of communications functions across TAS.
You’ll build and maintain trusted relationships with a variety of internal and external stakeholders, always upholding the highest standards of confidentiality and professionalism.
In addition, you’ll take the lead in developing and implementing a tailored, state-based social media plan in close collaboration with the National Social Media Team—helping amplify local stories and strengthen community engagement.
Key Roles And Responsibilities
Step into a dynamic and purpose-driven role where your organisational flair and people skills will shine. As a key support to the External Communications Manager, you’ll be at the heart of a passionate team, helping ensure our communications function runs smoothly and effectively.
Support That Matters
* Provide administrative support to the External Communications Manager to ensure the effective management of the office, schedule and workload.
* Coordinate daily business by reviewing diaries, emails, meetings and travel demands—identifying and resolving potential issues.
* Develop reports, correspondence, documents, proposals and presentations to support the Manager.
* Attend meetings and take minutes as required to support communication and follow-up.
* Play a key role in organising Communications and TAS Division events as directed.
Smart, Efficient Administration
* Coordinate meetings, workshops, and committee meetings with attention to detail.
* Assist with communications to Corps for reporting, reconciliation, and fundraising campaigns.
* Act as liaison between the External Communications Office and Donor Care Services.
* Manage financial processes including expenses, payroll, and invoices via Service Now.
* Maintain records, promotional materials, office supplies, and filing systems.
Meaningful Stakeholder Engagement
* Maintain and enhance relationships with internal and external stakeholders.
* Build rapport with visitors to the External Communications Office.
* Liaise and coordinate meetings, visits, and special engagements with stakeholders.
* Work collaboratively with executives, staff, and EAs to ensure effective event and meeting planning.
* Provide a professional and friendly point of contact for all engagements.
Social Media with Impact
* Develop and implement a state-based social media plan with the National Social Media Team and local Division.
* Elevate local content to strengthen our community presence.
* Manage social media interactions during working hours.
* Ensure timely responses and meaningful engagement with our audience.
* Help bring our stories to life through consistent, community-driven content.
About You
* A Certificate III in Business Administration (or equivalent), or a strong track record that demonstrates relevant experience, knowledge, and skills in a similar role.
* Background in Public Relations—whether through formal studies or hands-on experience—will be highly regarded.
* Proven experience in administration management, with the confidence and capability to support a busy office environment.
* Exceptional communication skills—both written and verbal—including strong editing, proofreading, and minute-taking abilities, with a sharp eye for detail and accuracy.
* Strong organisational skills, with the ability to juggle multiple priorities and meet competing deadlines with confidence and calm.
* Confident using a wide range of software, with intermediate to advanced skills in preparing documents, spreadsheets, emails, and navigating online tools.
* Solid proficiency in Microsoft Office—especially PowerPoint, Excel, Word, and Outlook.
