About the Role
Our Professional & Financial Risks (PFR) team in Brisbane is growing, and we're looking for a Legal Administration Assistant who enjoys being part of a busy, high-trust practice and takes pride in keeping things running smoothly. This role suits someone who values variety, structure and being relied on. You'll support Partners and fee earners across a diverse range of matters, working closely with clients, finance teams and the wider practice. At WK, administrative professionals are trusted for their expertise, encouraged to take ownership, and supported to build long-term careers.
What you'll do
* Open and manage matters, including conflict checks and file maintenance
* Prepare client acknowledgements, appearances, and Master Cost Agreements
* Track deadlines, diarise advice dates, and manage court dates
* Draft, format, proofread, and finalise legal documents
* Support billing and WIP processes in line with client SLAs
* Generate reports and assist with client reporting requirements
* Liaise with Finance, Billing, and Operations teams on trust and billing queries
* Monitor Partner inboxes and assist with diary and meeting coordination
* Provide broader team support and assist colleagues during peak periods
What you'll bring
* Previous experience as a Legal Administration Assistant or Legal Secretary
* Exposure to litigation and court processes (helpful, but not essential)
* Strong organisational skills with the ability to manage competing priorities
* Confidence using legal systems such as iManage, Aderant or similar
* Experience supporting billing and financial administration processes
* Excellent attention to detail and a proactive, solutions-focused approach
* Strong communication skills and the confidence to liaise across teams
* A cooperative mindset and willingness to pitch in where needed
